What do you do when 95% of the paper produced in your office is unnecessary and you are running out of storage space? This was the dilemma faced by Chartered Accountancy firm W J Miscampbell & Co and the reason they decided to search for an electronic document management system.

Jim McCormick, Tax Partner at the Northern Ireland-based firm says they recognised around five years ago that the company was generating enormous amount of paper and that storage was becoming a major issue in the office.

"Probably 95% of our documents were generated out of a computer system and the reality was we never had to refer to the documents again. Managing all the paper was taking a huge amount of time and was a waste of money and resources. We were also concerned about the unnecessary use of paper for environmental reasons."

"Our service to clients has greatly improved because when they call, we can access all the letters and documents at the click of a button and talk to them immediately. There is no need to go and dig out a file then call them back," says Jim McCormick.

"Internally Invu has enhanced our efficiency significantly as the client filing tray disappeared overnight - filing client documentation would take around three hours each day so if you multiply that cost over a year we've made a huge time and cost savings. Our interoffice memos and internal book keeping paper work have also disappeared. "The other major advantage is how easy the system is to use. The staff picked it up very quickly, and when new staff join us, they learn to use the system very quickly"
